POSITION SUMMARY
The Accounts Payable Administrator is responsible for the accurate and timely processing of vendor invoices and payments in support of construction and utility projects. This role ensures invoices are coded correctly, approved, and processed in accordance with company policies and project requirements.
Working closely with Project Managers, Procurement, and vendors, the Accounts Payable Administrator plays a key role in resolving discrepancies, maintaining organized records, and supporting high-volume transactional workflows. This position requires strong attention to detail, organization, and the ability to meet deadlines in a fast-paced environment.
CORE RESPONSIBILITIES
Accounts Payable Processing
- Process high volumes of vendor invoices, ensuring accuracy and proper expense and job cost coding
- Match invoices to purchase orders and receiving documentation
- Verify approvals in accordance with company policies and project authority levels
- Prepare and process payment runs (cheques, EFTs, wires) in line with vendor terms
- Monitor and manage the accounts payable inbox, responding to internal and external inquiries
Training & Documentation Management
- Communicate with vendors and internal teams to resolve invoice discrepancies and payment inquiries
- Work closely with Project Managers and Coordinators to confirm coding, approvals, and project allocations
- Maintain accurate vendor records, including banking and tax information
- Reconcile vendor statements and follow up on outstanding items
Reconciliation & Month-End Support
- Assist with month-end close activities, including accruals and account reconciliations
- Ensure all invoices are processed within required timelines to support financial reporting deadlines
- Maintain organized and audit-ready documentation
General Administrative Support
- Support document management, and record retention processes
- Assist with additional accounting and administrative tasks as required
ESSENTIAL REQUIREMENTS
Education & Experience
- Post-secondary education in Accounting, Business, or a related field, or equivalent experience
- 2+ years of accounts payable or related accounting experience
- Experience in construction, utilities, or project-based environments is considered an asset
Skills & Abilities
- Strong attention to detail and accuracy in a high-volume environment
- Ability to meet deadlines and manage multiple priorities
- Basic understanding of accounting principles and expense coding
- Strong communication skills with the ability to work with both field and office teams
- Proficiency in Microsoft Excel and accounting/ERP systems (e.g., Viewpoint, SAP, or similar)
- Ability to work independently and as part of a team
