Position Summary
Roshel Smart Armored Vehicles is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and project coordination support to senior leadership. This role serves as a key point of contact between executives, internal departments, external stakeholders, and vendors while ensuring efficient management of schedules, communications, and strategic initiatives.
The successful candidate will possess exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. In addition to executive support responsibilities, the Executive Assistant will assist with project planning, coordination, execution, and reporting to support organizational objectives.
Key Responsibilities
· Manage and coordinate executive calendars, meetings, appointments, and travel arrangements.
· Oversee incoming and outgoing communications, including emails, phone calls, reports, and correspondence.
· Prepare daily schedules, meeting materials, and executive briefings.
· Act as a gatekeeper for internal and external communications, ensuring appropriate prioritization and follow-up.
· Liaise with clients, vendors, business partners, and internal stakeholders on behalf of executive leadership.
· Prepare presentations, reports, meeting minutes, and other business documents as required.
· Maintain confidential records and sensitive information with a high level of discretion.
· Assist in planning, coordinating, and monitoring projects from initiation through completion.
· Coordinate project meetings and facilitate communication among stakeholders.
· Support the development of project plans, timelines, objectives, and deliverables.
· Monitor project progress and identify potential risks, obstacles, and resource requirements.
· Track project budgets, expenses, and resource allocation to support successful project execution.
· Maintain project documentation, reports, action items, and status updates.
· Collaborate with cross-functional teams to ensure projects are completed on schedule and within budget.
· Support continuous improvement initiatives and process optimization efforts
Qualifications
· Bachelor's Degree in Business Administration, Project Management, Communications, or a related field.
· Minimum 3 years of experience in an Executive Assistant, Project Coordinator, Administrative, or related role.
· Strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, and Teams).
· Exceptional organizational and time management skills.
· Strong verbal and written communication skills.
· Demonstrated ability to manage multiple priorities and meet deadlines.
· Strong problem-solving and decision-making abilities.
· Excellent interpersonal and relationship-building skills.
· Ability to maintain confidentiality and exercise sound judgment.
· Experience supporting senior executives is considered a strong asset.
· Project management experience or exposure is considered an asset.
· Ability to work effectively in a fast-paced environment with a high degree of professionalism and adaptability.
