Office Manager — Innova Canada Sales Office

Location: Vancouver, British Columbia

Job Type: Full-time, On-site 

About the Role

The Office Manager plays a key role in supporting the sales team and ensuring the efficient operation of the office. This position is ideal for an organized, proactive professional who thrives in a fast-paced, customer-focused environment. You’ll handle administrative tasks, coordinate communication across internal departments, maintain office database, and assist with reporting and client relations.

Key Responsibilities

Administrative & Office Management

  • Oversee general office operations including ordering supplies, coordinating maintenance, and supporting the management of customer relationships.
  • Serve as the first point of contact for visitors, phone calls, and showroom visits
  • Manage the showroom, organize meetings/trainings, and coordinate with the technical service team
  • Maintain filing systems, databases, and digital records (CRM, shared drives, etc.).

Sales Support

  • Assist in preparing sales reports, presentations, and project quotations
  • Maintain and update CRM records and customer files with accuracy.
  • Coordinate communication between sales, logistics, and marketing teams.
  • Help organize trade shows, promotional events, and training sessions
  • Track orders, client inquiries, and follow-ups to ensure timely responses.
  • Liaise with external clients and internal departments to ensure smooth workflow.

Qualifications

  • Education: High school diploma required; post-secondary education in business administration an asset.
  • Experience: 2–4 years of experience in an administrative or office management role, preferably in a sales environment, HVAC industry experience a plus.
  • Technical Skills: Proficient in Microsoft Office and Google Workplace; experience with CRM software (salesforce) preferred.
  • Strong written and verbal communication, organizational skills, and attention to detail.
  • Customer-focused attitude and ability to manage multiple priorities under pressure.
  • Positive, adaptable, and proactive work ethic.
