About the Role
The Office Manager plays a key role in supporting the sales team and ensuring the efficient operation of the office. This position is ideal for an organized, proactive professional who thrives in a fast-paced, customer-focused environment. You’ll handle administrative tasks, coordinate communication across internal departments, maintain office database, and assist with reporting and client relations.
Key Responsibilities
Administrative & Office Management
- Oversee general office operations including ordering supplies, coordinating maintenance, and supporting the management of customer relationships.
- Serve as the first point of contact for visitors, phone calls, and showroom visits
- Manage the showroom, organize meetings/trainings, and coordinate with the technical service team
- Maintain filing systems, databases, and digital records (CRM, shared drives, etc.).
Sales Support
- Assist in preparing sales reports, presentations, and project quotations
- Maintain and update CRM records and customer files with accuracy.
- Coordinate communication between sales, logistics, and marketing teams.
- Help organize trade shows, promotional events, and training sessions
- Track orders, client inquiries, and follow-ups to ensure timely responses.
- Liaise with external clients and internal departments to ensure smooth workflow.
Qualifications
- Education: High school diploma required; post-secondary education in business administration an asset.
- Experience: 2–4 years of experience in an administrative or office management role, preferably in a sales environment, HVAC industry experience a plus.
- Technical Skills: Proficient in Microsoft Office and Google Workplace; experience with CRM software (salesforce) preferred.
- Strong written and verbal communication, organizational skills, and attention to detail.
- Customer-focused attitude and ability to manage multiple priorities under pressure.
- Positive, adaptable, and proactive work ethic.
