Salary Range: $60,000–$80,000 per year, based on experience and qualifications

About the Role
Civicon is seeking an experienced Senior Project Coordinator to support the planning, coordination, and execution of major transit infrastructure projects.
Reporting to the Project Manager, the successful candidate will coordinate project documentation, schedule updates, reporting, procurement tracking, cost information, meetings, and communication between clients, consultants, subcontractors, field teams, and internal departments.
The successful candidate must be able to independently manage assigned project responsibilities and provide reliable support from project startup through closeout.
Duties and Responsibilities
The Senior Project Coordinator’s duties include, but are not limited to:
- Support the Project Manager with project planning, scheduling, budgeting, procurement, and overall project coordination.
- Independently manage assigned project work packages, documentation, and action items.
- Prepare, issue, and maintain RFIs, submittals, shop drawings, change documentation, purchase orders, and project correspondence.
- Maintain accurate project logs, document-control systems, drawing registers, and distribution records.
- Review drawings, specifications, contracts, schedules, scopes of work, and client requirements.
- Coordinate with superintendents, subcontractors, suppliers, consultants, designers, clients, and internal departments.
- Prepare meeting agendas, record meeting minutes, distribute action items, and follow up on outstanding commitments.
- Support schedule updates, look-ahead planning, progress tracking, and reporting.
- Track project deliverables, approvals, procurement items, material deliveries, deficiencies, and closeout requirements.
- Assist with cost tracking, subcontractor progress, change orders, forecasts, invoicing, and supporting documentation.
- Identify missing information, coordination issues, potential delays, and scope conflicts and escalate them promptly.
- Coordinate inspections, testing, permits, materials, equipment, subcontractors, and project resources.
- Attend project meetings and site visits as required.
- Prepare client reports, progress updates, presentation materials, and supporting project information.
- Support project closeout, deficiency correction, commissioning, turnover documents, warranties, and final records.
Qualifications
- Diploma or degree in construction management, civil engineering, engineering technology, or a related field.
- Minimum of three years of project-coordination experience in construction.
- Direct experience supporting TTC and/or Metrolinx projects is required.
- Experience in heavy civil, transit, infrastructure, sewer and watermain, structural concrete, industrial, or commercial construction.
- Strong understanding of RFIs, submittals, shop drawings, change orders, purchase orders, meeting minutes, document control, and closeout records.
- Ability to interpret construction drawings, specifications, contracts, schedules, and scopes of work.
- Experience coordinating subcontractors, suppliers, consultants, clients, and field personnel.
- Proficiency in Microsoft Excel, Word, Outlook, Teams, and PowerPoint.
- Experience with Bluebeam, Procore, Primavera P6, Microsoft Project, AutoCAD, CMiC, or similar systems is considered an asset.
- Valid driver’s licence and access to reliable transportation.
